Southwest Airlines Group Booking
Southwest is the flexible option. Two checked bags travel free on every fare, and the airline’s change policy is the most forgiving in the market, which matters when a group roster is still moving three weeks before departure.

FreeWhy groups choose Southwest Airlines
- Two free checked bags per passenger, a real saving across a large group
- No change fees, so a shifting roster does not become a shifting budget
- Point-to-point network that skips congested connecting hubs
- Strong coverage of secondary airports close to event venues
How a Southwest Airlines group booking works
Southwest Airlines treats 10 or more passengers travelling on the same flight as a group. That moves your booking out of the public fare buckets and onto a contracted group fare, which behaves differently in three ways that matter to an organiser.
The price is fixed when you book, not when you pay. Public fares climb as seats sell, so a party of 30 booked individually over several weeks can end up paying three different prices. A group contract locks one fare for the whole block from the day the deposit clears.
You do not need the names yet. Seats are held against the group, not against individuals. You supply the passenger list before the ticketing deadline, which is usually several weeks out. Anyone who drops off the list before that point can normally be released without penalty, within the percentage written into your contract.
Everyone sits together. Seats come out of one block on one flight, rather than whatever singles happen to be left in the cabin.
Southwest Airlines hubs and connections
Southwest operates through 5 main hubs, which determines how your group routes:
As a Independent carrier, Southwest group fares can often be written through to partner-operated flights on the same ticket, which keeps a single booking reference for the whole journey.
When to book
Three to eleven months before departure is the practical window. Each flight carries a finite amount of group inventory, and on Southwest the peak-season departures, holiday dates and convention weeks are committed first. Last-minute group space does exist, but it prices poorly and rarely seats everyone together.
Southwest Airlines group booking FAQs
How does Southwest group travel work?
Ten or more passengers on one itinerary qualifies. Southwest holds the seats on a group contract, and the free-bag and no-change-fee policies carry across to group tickets.
Does Southwest assign seats to groups?
Southwest now assigns seats rather than using open boarding, so a group can be seated together from the group block at booking.
Can a Southwest group change names later?
Names can be supplied against held seats up to the contract deadline, which is one of the main reasons organisers choose a group booking over buying individual tickets.
